What flo.space prepares with QuickBooks
Reads your books to prepare invoices, match payments, and flag overdue accounts.
- Draft an invoice from an approved quote
- Reconcile a Stripe payment to a customer
- Flag receivables past 30 / 60 / 90 days
What it reads, and what it can write
Reads · read-only to start
Only the QuickBooks data you connect, within the OAuth scopes you approve. flo.space reads the context it needs to prepare an action and nothing beyond it.
Writes · only on approve
Nothing writes back to QuickBooks until you approve it. On approval, flo.space performs the exact action you reviewed, and logs it to the audit trail.
A QuickBooks action, prepared and waiting
Every prepared action lands on one screen with its source, reasoning, and a risk level. You approve, edit, or decline.
Recommendation: Reads your books to prepare invoices, match payments, and flag overdue accounts.
Exactly what flo.space drafts in QuickBooks
Four action types, all prepared as drafts and executed only on your approval: invoices, built from the email thread or order where the work was agreed, with line items, amounts, and terms filled in and each field citing its source; payment reminders, drafted when an invoice crosses the aging thresholds you care about, with the live balance checked at draft time; estimates, prepared from quote conversations so the numbers discussed and the numbers sent cannot silently diverge; and customer records, created or updated when a new buyer appears in your inbox or store.
One boundary worth stating plainly, because the search results around "QuickBooks automation" blur it: flo.space prepares outbound billing, the invoices you send to get paid. It is not AP automation and not OCR bill capture; if you need software that reads inbound vendor bills and routes them for payment, that is a different category (Bill, Ramp, Stampli live there), and our invoicing guide explains the distinction before you buy the wrong thing.
Connecting QuickBooks, step by step
From your flo.space workspace, choose QuickBooks and sign in with your Intuit account. The connection uses Intuit’s standard OAuth; flo.space never sees your password.
The consent screen lists exactly what is granted: reading customers, invoices, payments, and aging. Nothing in this step allows writes.
Within a day, prepared actions referencing real invoices and balances appear in the Action Center, still unable to execute.
When you are ready to approve your first action, flo.space requests the specific write permission it needs. Every write thereafter is a draft until a person approves it.
A worked example
A wholesale customer replies "confirmed for 12 pallets at the Friday price." flo.space matches the thread to the QuickBooks customer, pulls their net 30 terms, drafts invoice #1097 with the price cited from the Friday email, and queues it alongside the drafted cover reply. The owner notices the thread also mentioned a delivery fee the draft missed, adds it with the edit "include the $150 delivery fee," and approves. The invoice posts, the reply sends, and both appear in the audit trail with the thread excerpt attached. Elapsed review time: under a minute; typing done by the owner: one sentence.
Limitations, honestly
flo.space works from what QuickBooks and your connected inbox contain: if your items and prices live only on paper, drafts will need more editing until they move into the books. It does not do payroll, inventory costing, or tax work. It does not import historical data or fix miscategorized accounts; a bookkeeper remains the right answer there. And it deliberately has no bulk send: fifty reminders means fifty approvals, quick ones, because that is the product's promise, not a missing feature. Reference detail lives in the documentation; the pairwise workflow pages for Gmail + QuickBooks, Shopify + QuickBooks, and Stripe + QuickBooks go deeper on each combination, and the invoice template shows the flagship workflow end to end.
QuickBooks + flo.space, answered
It creates drafts automatically and posts them only on your approval. There is no unattended mode: every invoice, reminder, estimate, and record change waits in the queue with its sources shown until a person approves it.
QuickBooks Online, via Intuit’s standard OAuth connection. If you run QuickBooks Desktop, tell us in onboarding; the honest answer today is that Online is the supported path.
No. flo.space prepares outbound billing: the invoices and reminders you send to get paid. Inbound vendor-bill capture and payment routing is a different software category, and buying across that line is a common mistake our invoicing guide covers.
Customers, invoices, payments, estimates, and aging, within the scopes you approve at connection, read-only to start. It does not read payroll, banking credentials, or anything outside the granted scopes, and you can revoke access instantly from either side.
It drafts the chase at each aging threshold with the live balance verified at draft time, in the thread where the work was agreed. You approve each send, which is exactly the step that catches the customer who paid this morning.
